Confidentiality

Confidential by design, because otherwise nobody tells the truth.

Brightwork's surveys and listening sessions only work if people believe their honesty can't come back on them. So these protections aren't fine print, they're the method, and we put them in writing before any survey goes out.

The 4 protections

What every diagnostic promises.

These apply to Detect, the Burnout & Retention Audit and Activate, from the first survey to the last session.

1. No small groups

No result is ever broken out for any group smaller than 5 people. That's also why Detect isn't the right fit for teams under 15 people.

2. No attribution, ever

Quotes and themes are de-identified before they reach anyone in your company. Individual answers are never shared, not with HR, not with the sponsor, not with anyone.

3. Organizational, not clinical

It's a read on how the work is designed, not a screening of people. We never assess, diagnose or report on any individual.

4. Never a performance input

Findings are about the system, and they are never used in anyone's performance review. That goes in writing before the survey goes out.

Who sees what

Only Brightwork sees the raw data.

  • Brightwork sees the raw survey answers and the notes from listening sessions. They never leave our side.
  • Your organization sees the synthesized report: themes, results for groups of 5 or more, and quotes with anything identifying removed.
  • Nobody sees what any one person said.

Why it's built this way

People tell an outside listener what they won't type into an internal tool.

The listening sessions are where an audit earns its price, because people will say out loud, to someone outside the company and under clear confidentiality, what they'd never put in an internal survey. Honesty also goes up when leadership announces the work as "help us fix the system," not "help us find problem people," and we help you word that announcement.

In a cross-company cohort

The open-enrollment Sustainable Leader Program puts leaders from different companies in the same room, so it has its own ground rules:

  • What's said in the room stays there. Every participant and sponsor signs the same confidentiality ground rules before week 1.
  • Competitors kept apart on request. Tell us who you'd rather not share a pod with, and we'll set the pods up around it.
  • Work patterns, not trade secrets. The material is workload, priorities, early signs and recovery. Leaders talk about how they run their teams, never about roadmaps or customers.
  • Sponsors see the outcome, not the conversation. Sponsors get an intake conversation, the capstone and a close-out note. What their leader says in sessions and pods stays confidential.

Questions

What sponsors and participants ask.

Who sees the raw survey answers and session notes?

Only Brightwork. Your organization gets the synthesized report, which means themes, results for groups of 5 or more, and quotes with anything identifying removed. Raw survey answers and listening-session notes never leave our side.

Can a manager find out what one person said?

No. Results are never broken out for any group smaller than 5 people, quotes are de-identified before anyone in your company sees them, and individual answers are never shared with HR, the sponsor, or anyone else.

Will the results be used in performance reviews?

No. Findings are about how the work is designed, not about people, and they are never an input to anyone's performance review. We put that in writing before the survey goes out.

Is this a mental-health screening?

No. It's an organizational read on how work is set up. We never assess, diagnose or report on any individual, and nothing about it is clinical.

What about a cohort with leaders from other companies?

Every participant and sponsor signs the same confidentiality ground rules before week 1. What's said in sessions and pods stays there, we keep competitors apart on request, and the material is about how leaders run their teams, never roadmaps, customers or trade secrets.

Can we put the data-handling terms in our agreement?

Yes, we're glad to. Just ask during the first conversation and we'll include them.

Next step

Questions about how your data is handled?

Bring them to a 30-minute conversation, and we'll walk you through exactly who sees what, and put it in your agreement.
